With Pro, an engagement goes on from scoping to an agreed plan. Your client agrees to it on their own page by typing their name, and exactly what they agreed is kept.
Writing the plan #
On the Plan & Agreement tab: the objective, background, what is included and what is not, the repositories and sources you will use, limitations, up to eight phases with an hours range each, and the quote - fee model, estimated hours, hourly rate or fixed fee, retainer, notes and the questions included after delivery. Save draft keeps it private.
Sending it and the client's link #
Send the scope to the client publishes it as a numbered version. Then, under The client's link, create the client's link and copy it - your client sees nothing until you have sent the plan. If you edit the plan after sending it, you are warned that the client is still looking at the earlier version until you send it again.
The client agrees #
On their Scope and agreement page your client reads the plan and the cost, types their name and presses I agree - please go ahead. Their name, email address, the time, the address it came from and the version are recorded, and you are emailed. If you published a new version while they were reading, they are asked to read it first. Then move the engagement to Agreed.
If they agreed by email or on the phone, use Record an acceptance you already have on the Plan tab. It counts the same. Every sign-off is listed under Sign-off record, and none can be edited or deleted - by anyone, including you.
Changing the scope #
Move the engagement from Research in progress to Scope change pending, edit the plan and press Send the updated scope to the client. They agree to the change the same way, and only then can the work carry on. A second change needs a second agreement: an earlier one never covers a later version.
Billing and terms #
The Billing & terms tab holds the fee model and currency, the payment status, a link to your own invoice (the client sees "View or pay your invoice"), hours purchased, other hours, the questions included after delivery, and this engagement's own exceptions to the Settings. The plugin never takes a payment and holds no card details. By default, work cannot start until the retainer is recorded as paid.
Signing off the work #
When the work is done, move the engagement to Final review and send the reports and files from the Deliverables tab. Your client signs off on their Reports and files page, beside the work, and you are emailed; then the engagement can be delivered. A sign-off you hold by email is recorded on the Plan tab under Record a sign-off you already have. If something needs putting right, move it back to Research in progress - after that, the revised work needs signing off again. Interim reviews can ask for a sign-off the same way if you switch that on in Settings.
